A folder structure for documents that you actually keep up
Why elaborate folder trees collapse after three months, the only two rules that matter, and three structures that have proven themselves.
A folder structure is a promise to your future self: “this is how I will look for it later”. Most structures fail because that future self remembers nothing.
Why elaborate trees collapse
On a quiet Sunday you build a beautiful structure: “Finance / Insurance / Contents / Correspondence”. Three months later a letter arrives from the contents insurer about a premium increase. Does it go under “Correspondence” or under “Contents”? You think about it for two seconds, drop it on the desktop, and the structure is dead.
That is not a lack of discipline. It is a design fault: a structure in which a file could fit in two places forces a decision every single time you file something. Decisions cost energy, so people avoid them.
Two rules, and no more
- Three levels at most. Anything deeper is only ever found through search – and then you might as well skip the levels.
- Every file must fit in exactly one place. If you have to think about it, the structure is wrong, not you.
The second rule is the more important one. It is also why sorting by file type works so well: a PDF is a document, a JPG is an image. Nobody has to think about that.
Three structures that work
Which one fits depends on how you search – not on which one looks tidier.
By type, when you remember the kind of file. This is the default for everything that simply accumulates: downloads, desktop, the folder called “Stuff”.
Documents\ Images\ Videos\ Archives\By type and year, when things have piled up over the years. The second level keeps folders small without demanding any new logic.
Documents\2026\ Images\2025\By area of life, when the documents belong to separate matters: home, car, work, health. This is the only one of the three you have to maintain yourself – in exchange it matches how you actually search.
Home\2026\ Car\2026\ Health\2026\Search does not replace structure – but it covers a lot
Windows also searches inside PDF and Office files, provided the folder is indexed – and for your own documents it is by default. That means even a misfiled document is not lost, as long as you remember one word from its contents.
Still, do not rely on it. Search finds what you can name. It does not help with “what exactly did I send the insurer in 2024” – that needs a folder.
Existing structure is sacred
If at some point you created a folder called “Tax 2025”, it holds a decision you made deliberately. A tidying tool that dissolves that folder and spreads the files by type does the opposite of creating order.
That is why Zortio only touches files sitting directly in the folder you picked. Anything already inside a subfolder stays where it is.
With Zortio
You set the structure before choosing a folder, and right next to it a made-up sample folder shows you the outcome straight away – by type, type and year, year only, year and month. It is the quickest way to see the three variants above side by side without touching a single file of your own.
